Front Desk Associate - Full Time

Department: Front Desk
Location: Seattle, WA

Pay Range: $18.69 - $23.81 / hour (DOE)

Available Schedule(s):

Friday-Tuesday 11:30 AM - 8:00 PM or 10:00 AM - 6:30 PM

Summary:

The Front Desk Associate provides the first impression of Horizon House by providing excellent customer service to residents, guests, visitors, and staff in-person, on the phone, and via written communications. Responsible for delivering a stellar customer service and hospitality experience for our community.

Essential Job Duties

  • Greets residents, staff, vendors, and guests warmly; Providing an outstanding level of customer service to foster a welcoming and inviting environment.
  • Assists with requests for information and services. Makes referrals to appropriate departments for specialized services.
  • Coordinates communication to the appropriate departments and residents utilizing the proper communication channels.
  • Supports residents by tracking packages, groceries, and other deliveries upon arrival, and follows protocols to ensure arrangements for delivery/pick-up are communicated to the recipient.
  • Communicates professionally to meet the needs of the residents, guests, and Horizon House staff.
  • Maintains security by monitoring the main entrance, screening for authorization of community entry, monitoring logbook, and issuing visitor badges.
  • Monitors surveillance cameras to detect and follow response protocols for disruptions, threats, or unlawful acts.
  • Maintains reception desk and reception common areas in a clean and tidy manner at all times.
  • Conducts screening protocols (e.g. temperature measurements, screening questionnaires, etc.) of individuals entering the community as needed.
  • Monitors Emergency Response System and fire panel and acts accordingly to alarms in accordance with facility policy.
  • Prepares Access Key Cards for resident lockouts, guest rooms, and employees and contract employees.
  • Responds to emergency situations according to the procedures outlined in the Horizon House Disaster Manual.
  • Communicates and works in concert with other Front Desk Associates to ensure that all areas of work are covered.
  • Ensures working knowledge of all processes, procedures, systems, and equipment at Reception.
  • Provide general administrative and clerical support.

Essential Experience/Knowledge/Education/Specialized Training

  • High School Diploma, GED or equivalent.
  • One (1) year customer service experience with cash handling, accounting and/or telephone receptionist tasks;
  • Proficiency with Microsoft Office products including Word, PowerPoint, Excel, Outlook, Teams and comfort/familiarity with various web-based computer systems.
  • Effective communication is a core component of this role.
